Walk-In Cooler Not Holding Temperature? What to Check Before You Lose the Product

A walk-in that is climbing costs you money in three directions at once: the product on the shelves, the hours you cannot trade, and the inspection risk if temperatures sat out of range with no log to show. The good news is that walk-ins fail in a short, predictable list of ways — and two of the most common causes are things a manager can check in ten minutes, before anyone bills you for a service call.

First: what number are you actually chasing?

Texas Food Establishment Rules follow the FDA Food Code, and the number that matters is 41°F. Time/temperature control for safety foods — dairy, cut produce, raw protein, cooked items held cold — must sit at or below it. Past 41°F the Food Code allows a four-hour window under time-as-a-public-health-control before product is discarded, and that window only counts if somebody was tracking it. An inspector from Dallas County or Tarrant County Public Health who finds product at 48°F and no temperature log does not ask why the box failed.

So before you troubleshoot anything: get a calibrated thermometer into the product, not the air, and write down the time and the reading. That single line protects you later whether the outcome is a repair, a discard, or an insurance claim.

The five things that actually cause a walk-in to warm up

1. A fouled condenser — the most common cause by a wide margin

Grease, flour and dust blanket the condenser coil, head pressure climbs, and the system loses capacity long before it quits outright. The classic symptom is a box that holds fine overnight and loses ground through service, or one that has been creeping up a degree a week for a month. Find the condensing unit — on the roof, on top of the box, or in a back corner — and look at the coil. If you cannot see through the fins, that is very likely your problem. Blowing it out from the clean side can drop head pressure enough to start pulling temperature again while you wait for a technician.

2. Iced evaporator or a stuck defrost cycle

If the unit is clearly running — fans turning, compressor humming — but the box is warm, look at the evaporator inside. A failed defrost timer, defrost heater or termination thermostat lets frost build until the coil cannot move air at all. A coil under a solid block of ice moves nothing. Do not chip at it. A screwdriver through an evaporator tube turns a service call into a refrigerant-recovery job, and the difference on the invoice is not small. Shut the unit down, let it defrost, and get it diagnosed before you refreeze the same problem.

3. Doors and gaskets

The cheapest fix on this list and the one most often ignored. A torn gasket, a sagging hinge, or a closer that no longer pulls the door shut lets warm humid DFW air in continuously — the system never catches up, and the evaporator ices from the moisture load. Two quick checks: close the door on a dollar bill and see whether it pulls out with no resistance, and stand inside with the door shut and look for daylight. If a door needs a shoulder to close, refrigeration is paying for it every hour you are open.

4. A refrigerant leak

Vibration-cracked line sets, failed schrader cores, corroded evaporator tubing. Low charge shows up as very long run times, a coil icing in one spot rather than evenly, and a box that gets close to temperature but never quite arrives. This is technician territory. The part worth knowing as an operator: adding refrigerant without locating the leak is money spent twice, and any vendor who tops a system off and leaves without a leak search is selling you the same repair again next quarter.

5. Electrical — contactors, start components, and the compressor everyone blames first

A welded contactor leaves the compressor running with nothing to stop it; pitted contacts short-cycle it and eventually take it out. A failed capacitor or start relay imitates a dead compressor exactly — a hum, a click, no cooling. Compressors get condemned far more often than they actually fail, which is why start components, contactor and incoming voltage all get checked before anyone quotes you a compressor. The difference between those two invoices is an order of magnitude.

What to do in the first thirty minutes

Stop opening the door — every entry dumps the load and drags the coil further behind. Take a product temperature and write it down with the time. Move the highest-risk product (raw protein, dairy) into a working box or freezer if you have one. Look at the condenser and clear it if it is filthy. Look at the evaporator for ice. Then call — and lead with the temperature and what is in the box, not the brand. That is what decides how fast someone comes.

What it costs, and what “we'll quote it over the phone” really means

We do not publish a range for walk-in work and we do not quote it by phone, because a welded contactor and a sealed-system leak repair on an R-22 unit are an order of magnitude apart. Anyone giving you a firm commercial refrigeration number before seeing the unit is guessing, and the guess is not usually in your favour.

Repair or replace an older box

The box and the machine are separate decisions. Panels, floor and door are structure — routinely twenty-five years, worth repairing well past the point where the refrigeration is worn out. The condensing unit and evaporator are mechanical equipment on a ten-to-fifteen-year curve. A twenty-year-old box with a dying condensing unit is usually a re-power, not a replacement. Refrigerant decides more than age does: R-22 has not been produced or imported in the US since 2020, so a major leak repair plus a full R-22 charge is often the moment to move to R-448A/R-449A. Already on a modern refrigerant? Repair almost always wins.

The cheapest walk-in repair is the one you schedule

Nearly every expensive walk-in failure starts as a cheap one nobody looked at. A fouled condenser becomes a dead compressor. A torn gasket becomes an iced evaporator. A slow drain becomes a sheet of ice at the door. Preventive maintenance contracts start at $349 per year per location — coil cleaning, gasket and door inspection, defrost verification, temperature-log checks, drain-line service — plus priority in the queue when something goes wrong anyway.
